Welcome

AthleticScholar LLC ("AthleticScholar," "we," "our," or "us") operates the AthleticScholar website and platform at athleticscholar.net (the "Service"). This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It also explains how we handle information we receive from Google when you connect your Google account. By using AthleticScholar, you agree to the practices described here.

What AthleticScholar Does

AthleticScholar helps high school and college athletes get recruited. Athletes create a profile, find college programs and coaches for their sport, and reach out to those coaches. When an athlete connects their Gmail account, AthleticScholar writes personalized recruiting emails and sends them to college coaches from the athlete's own Gmail account, sends follow-ups if a coach has not replied, and shows the athlete any replies in their dashboard.

Information We Collect

We collect the following types of information:

• • Account and profile information: your name, email address, phone number, gender, sport, graduation year, team, and other details you enter when you create an account or profile.
• • Athletic and academic information: stats, results, GPA, highlights, photos, and preferences you provide so we can write accurate messages for you.
• • Information from Google: when you sign in with Google or connect Gmail, we receive the information described in the section "Google User Data and Limited Use" below.
• • Messaging data: the recruiting messages we write and send for you, and the replies and related messages from coaches that belong to those conversations.
• • Payment information: payments are handled by our payment processor, Stripe. We do not store full card numbers. We receive limited details such as your subscription status and the last digits of your card.
• • Parent or guardian information: if a parent or guardian pays for an athlete's plan, we collect their name and email address.
• • Usage and device data: your IP address, browser type, device information, and pages you visit, collected through cookies and similar technologies.
• • Information about coaches and colleges: public information about college programs and coaches, such as names, titles, schools and work email addresses, collected from public sources.

Google User Data and Limited Use

When you choose to sign in with Google or connect your Gmail account, you give AthleticScholar permission to access certain Google user data. We request only the access we need, and only for the purposes below.

What we access and why

• • Basic profile (openid, email and profile): your name, email address and profile picture. We use this to create your account, sign you in, and show your name and picture in the Service.
• • Send email on your behalf (gmail.send): we use this only to send the recruiting emails and follow-ups written for you to college coaches, from your own Gmail account. These messages appear in your Gmail Sent folder and coaches reply directly to you. We do not use this access to send anything else.
• • View your email messages (gmail.readonly): we use this only to find out when a college coach replies to a recruiting email sent through AthleticScholar, and to record messages that belong to those conversations. When your Gmail account receives a new message, Google notifies us. We check whether the message belongs to one of your AthleticScholar conversations. If it does, we store its text, subject, sender, time and any attachments so you can read it in your dashboard, notify you, update the conversation status, and stop follow-ups once a coach has replied. If it does not belong to one of your AthleticScholar conversations, we do not store it. We do not read, keep or use your other email.

How we use replies

For messages we store, we use an AI provider to summarize the coach's reply and label it (for example, interested, has a question, or declined) so you can see where each conversation stands. To do this we send the reply, and earlier messages in the same conversation, to our AI provider through its API. We do this only to provide this feature to you.

Our commitments about Google user data

• • AthleticScholar's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
• • We use Google user data only to provide and improve the user-facing features described in this policy.
• • We do not sell Google user data.
• • We do not use Google user data for advertising, including retargeting, personalized or interest-based advertising, and we do not share data we receive through Gmail access with advertising platforms.
• • We do not use Google user data to develop, improve or train generalized artificial intelligence or machine learning models.
• • We do not allow humans to read your Gmail data unless you give us permission for specific messages, it is needed for security purposes such as investigating abuse, it is needed to comply with the law, or the data is aggregated and anonymized for internal operations.
• • We do not transfer Google user data to others except as needed to provide the features above (for example, to our service providers who process it for us under confidentiality obligations), to comply with applicable law, or as part of a merger, acquisition or sale of assets after notice to you.
• • We store Google user data securely, and we keep the access tokens Google gives us on our servers only, never in your browser.

Your control over Google access

You can stop AthleticScholar's access to your Gmail at any time. Go to Dashboard, then Accounts, and choose to disconnect Gmail. This revokes our access and stops all sending and reply checking. You can also remove AthleticScholar in your Google Account permissions page at https://myaccount.google.com/permissions. To have data we already stored from Google deleted, see the section "Data Retention and Deletion."

How We Use Your Information

We use your information to:

• • Provide the Service, including writing, sending and tracking your recruiting messages
• • Show you college programs and coaches that fit your sport and profile
• • Send you notifications about replies and your account
• • Process payments and manage subscriptions
• • Provide customer support
• • Detect, prevent and investigate fraud, abuse and security issues
• • Improve, test and secure the Service
• • Comply with legal obligations

AthleticScholar does not sell or rent your personal information.

How We Share Your Information

We share information only in these situations:

• • Colleges and coaches: the messages you ask us to send, along with the profile details in them, are sent to the coaches you choose to contact.
• • Service providers: companies that help us run the Service, under confidentiality obligations. These include providers of our database and sign-in (Supabase), payments (Stripe), transactional email and text messaging (Mailgun and Twilio), hosting and infrastructure, error monitoring and logging (Sentry and Better Stack), and AI processing (Anthropic).
• • Advertising and analytics partners: as described in the section "Advertising and Analytics."
• • Legal and safety: when required by law, to enforce our Terms of Service, or to protect the rights, safety and security of users and the public.
• • Business transfers: if AthleticScholar is involved in a merger, acquisition or sale of assets, information may be transferred after notice to you.

Advertising and Analytics

We use analytics and advertising partners, including Meta, TikTok and Google, to understand how people find and use AthleticScholar and to measure our advertising. When you visit our site or take actions such as creating an account or starting a trial, we may send those events to these partners, together with limited identifiers such as a hashed email address and name. If you signed up with Google, we do not send your email address, name or other information from your Google account to these partners; those events include only an anonymous account identifier and standard browser details. We never send the content of your Gmail messages, or any data we receive through Gmail access, to these partners. You can limit this by adjusting your browser and device privacy settings and the ad settings on those platforms.

AI Messaging and Automation

AthleticScholar uses artificial intelligence to write recruiting messages and follow-ups from the profile information you provide and public information about the coach and college. With automatic sending turned on, AthleticScholar sends these messages from your Gmail account on your behalf, spread out over time, and sends follow-ups if a coach has not replied. You can review your messages in your dashboard, turn automatic sending off in your automation settings, or disconnect Gmail at any time. We do not make fully automated decisions that have legal or similarly significant effects on you.

Data Retention and Deletion

We keep your information for as long as your account is active and as needed to provide the Service. Access tokens from Google are kept only while your Gmail is connected, and are removed or revoked when you disconnect.

You can delete your account at any time from Settings, under Data & privacy. This immediately deletes your profile, your message history, your uploaded files, and the Google user data we stored, including replies and attachments we recorded from your Gmail. It also revokes our access to your Gmail and cancels your subscription. You can also ask us to delete your account by emailing admin@athleticscholar.net from the email address on your account, and we will complete that within 30 days. We may keep limited information where the law requires it, for example payment and tax records, or where needed to resolve disputes and prevent fraud. Disconnecting Gmail stops our access but does not by itself delete conversations we already stored, so please contact us if you also want those deleted.

Data Security

We protect your information with measures such as encryption of data in transit, encryption at rest provided by our database provider, access controls, and keeping Google access tokens on our servers only. No system is completely secure, so please protect your account credentials and contact us right away if you suspect unauthorized access.

Your Privacy Rights

You can:

• • Access and update your information in your account
• • Download a copy of your data from Settings, under Data & privacy
• • Delete your account and your information from Settings, or ask us to do it for you
• • Opt out of marketing emails using the link in the email
• • Disconnect Gmail or remove our access in your Google Account at any time
• • Ask us to restrict processing or withdraw consent where applicable

US State Privacy Rights

If you live in a US state with a privacy law, such as California or Colorado, you may have the right to know what personal information we collect and how it is used and shared, to request access to or deletion of it, to correct it, and to not be discriminated against for using these rights. We do not sell personal information and we do not share it for cross-context behavioral advertising beyond the measurement described in "Advertising and Analytics." To use your rights, email admin@athleticscholar.net. We respond to verified requests as the law requires.

Cookies and Tracking Technologies

We use cookies and similar technologies to keep you signed in, remember your preferences, understand how the Service is used, and measure advertising. You can control cookies through your browser settings. Blocking some cookies may affect how the Service works.

Children and Minors

AthleticScholar is intended for people who are 13 or older. Many of our users are high school students under 18. If you are under 18, you confirm that you have permission from a parent or guardian to use AthleticScholar. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has given us personal information, contact us and we will delete it.

Parents and Guardians

A parent or guardian can pay for an athlete's plan. When they do, we collect the parent's or guardian's name and email address to process the payment and send receipts. A parent or guardian can contact us at any time to ask questions about, review, or delete their athlete's information.

Third-Party Logos and Images

AthleticScholar displays school names, logos and images for informational purposes. We do not claim ownership of third-party trademarks, logos or images, and all rights remain with their owners. Any institution that wants its logo or content removed can contact us and we will act on valid requests promptly.

International Users

AthleticScholar is based in the United States. If you use the Service from outside the United States, your information will be transferred to and processed in the United States. By using the Service, you consent to this transfer.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the new version here with a new date, and we will tell you about significant changes through the Service or by email. Continued use after changes take effect means you accept the updated policy.
